The short answer is: no, a TC is not a personal assistant for an agent. A Transaction Coordinator supports the administrative and compliance side of a transaction, but does not replace the role, responsibilities, or fiduciary duties of the licensed agent nor do they act for the agent in any capacity other than in relation to specific transactions they’ve been hired to manage.
For instance, Agents are still responsible for
✔️ Advising and communicating directly with their clients
✔️ Explaining contracts, disclosures, and timelines
✔️ Negotiating terms, repairs, credits, and amendments
✔️ Maintaining consistent client communication throughout the transaction
✔️ Addressing client concerns, questions, and expectations
✔️ Representing the client’s best interests at all times
A TC cannot:
❌ Act as the primary point of contact in place of the agent
❌ Provide legal, contractual, or strategic advice
❌ Interpret contracts or explain terms to clients
❌ Make decisions on behalf of the agent or client
❌ Assume fiduciary responsibility for the transaction
A TC is also focused on each individual transaction itself, rather than any other duties that may be required of an agent for their own organizational or productive purposes.
A TC does not:
❌ Book appointments for you
❌ Set up your file tracking system (though they can add files to it)
❌ Manage your calendar
When hired, a Transaction Coordinator’s role is to:
✔️ Track deadlines and required documentation on a specific transaction
✔️ Help facilitate information flow between parties on a specific transaction
✔️ Ensure the file stays compliant and organized
✔️ Support the transaction behind the scenes
Even after a TC is hired, Agents still have an important role to play in the transaction.
Agents continue to:
✔️ Communicate directly with their clients
✔️ Guide clients through contracts, disclosures, and next steps
✔️ Lead negotiations and decision-making
✔️ Address client questions and concerns as they arise
✔️ Provide representation and fiduciary oversight
In short:
👉 The TC helps manage the details of a transaction so that the agent can stay focused on the relationship with their clients.
